# PADS4 Workspace

> PADS4 Workspace lets users book rooms, desks, and shared services. Learn how it connects to calendars, single sign-on, and occupancy sensors.

PADS4 Workspace is the PADS4 module for booking rooms, desks, and shared services. Users find a space, check its availability, and book it in one place. Administrators decide which spaces exist, who can book them, and how bookings behave.

You can use Workspace as a standalone booking solution, or together with the calendar system that your organization already uses.

## How PADS4 Workspace works

Workspace has an administrator side and a user side.

| Part | Who uses it | What it is for |
| - | - | - |
| **PADS4 Workspace** | Users | Search for a space, book it, and manage your own calendar. |
| **PADS4 Workspace Mobile** | Users | Book spaces and receive notifications on iOS and Android. |
| **Microsoft Outlook add-in** | Users | Search for and reserve rooms from Outlook Calendar. |
| **Administrator** | Administrators | Create buildings, rooms, profiles, and users. Review statistics and defective equipment. |

PADS4 Workspace connects to external systems for calendars, user accounts, and room hardware:

* **Calendars**: Microsoft Graph, Microsoft 365, Microsoft Exchange Server, Google Calendar, and iPorta.
* **Sign-in**: Single sign-on (SSO).
* **Occupancy sensors and LEDs**: Show whether a room or workspace is free or booked.

## What you can do with PADS4 Workspace

* **Book spaces**: Reserve meeting rooms, desks, common areas, and group workspaces.
* **Find the right space**: Filter by capacity, location, equipment, and services, or browse an interactive floor plan.
* **Add services**: Request additional services, such as catering, with a booking.
* **Prevent unused bookings**: Use check-in and occupancy sensors to release rooms that nobody uses. Workspace reports these unused bookings as *ghost meetings*.
* **Keep rooms reliable**: Users report defective equipment, and administrators mark it as repaired.
* **Approve bookings**: Require approval for selected rooms, or let a manager assign a room to a booking request.
* **Manage remote work and absence**: Users declare remote work days and report absence in the Workspace web application.
* **Analyze usage**: Review occupancy and booking statistics, and export them to PDF or Microsoft Excel.
